Change the Dates - What they are and what you need to know

As weddings and other large events begin to shift due to COVID-19, you may receive a “Change the Date” card. There are many ways this can be done, but a Change the Date card will act as the formal and official announcement for any event moving dates.

While previously much more rare, a change the date card does not come without precedent. These are used any time an event needs to be moved, which can happen for a number of reasons.

If a wedding you’re planning, or planning to attend, needs to change dates, a Change the Date card should be sent immediately. Here are a few more things to note:

If you’re planning a wedding:

  • Once the new date is finalized, share the news immediately with close family and the wedding party via phone or email. While it is worth considering contacting all guests prior to sending a Change the Date in the interest of time, it’s particularly important to address the key guests first and as soon as possible.

  • Again, time is of the essence, so a Change the Date should be ordered as soon as key event information is finalized for the new date, this would primarily consist of the date, time, venue, and any other key locations such as a church. It’s important to be sure that these “non-negotiable” items are set in place before committing to a new date, while other details can come later.

  • Consult with your wedding planner or design firm to create cards which complement the invitation design suite. It’s important to keep the look and feel of your big day consistent.

If you receive a Change the Date as a guest:

  • Be flexible and understanding that in the case of the current crisis, this type of event change is of great magnitude, stress and filed under “Act of God” in many event contract clauses. NO ONE saw this coming a year or more ago when planning initially began and no one wants to have to postpone their wedding day! Be gracious and empathetic with the couple and do your best to arrange your availability.

  • Read the card carefully and respond promptly. The couple and their family is likely working tirelessly to re-organize a huge event which they may have already been working on for 6-18 months. Be thoughtful and helpful in replying quickly with your updated response.

  • Where appropriate, share encouragement and support for the couple. While the situation is unfortunate, it’s important they know they are surrounded by love and support from the very beginning of their marriage.
